Responsibilities and Expectations:  

The Shared Services Administrator will be responsible for the management of routing all items, including directing emails to the appropriate teams for resolution and to assist in resolution of items. This role will also be expected to assist with communication between the departments and improve the customer service that is provided to internal and external customers. 

  • Provide support to vendors and customers both internal and external by managing a series of email inboxes.
  • Routing and responding to email queries based on the area of responsibility within the shared services team.
  • Provide necessary documentation from document database based on vendor or customer request, including vendor packets, updated ACH inquiries and other areas where needed.
  • Develop and maintain templated responses for general questions to ensure consistency in communications.
  • Organize, file, and tag emails for easy searching for reference and record keeping.
  • Track and follow up on open issues to make sure no applicants, vendors, or customer issues are left unresolved.
  • Assist with research of unpaid invoices and cash application issues.
  • Where appropriate, actively participate in internal meetings to support the shared services team and its efforts.
  • Recognize and prioritize issues that require immediate escalation for management attention.
  • Provide regular input and ideas that will contribute to continuous improvement of processes.
  • Contribute to and support processes between teams to identify opportunities and drive collaborative efforts.
  • Identify and track issues and trends with communications, both internal and external, and discuss with leadership.
